Development and Membership Assistant

Supports the Executive Director in overseeing Donor Perfect database, creating and distributing annual appeals, overseeing development and membership events and activities, fundraising campaigns and events, and planned giving programs. Primary responsibilities are managing donor/membership database and correspondence, stewardship and acknowledgement of donors.  Works closely with Executive Director, Fund Development Committee, Special Events Committee, and Board Members to correspond with donors and members.  Is responsible for monthly board reports, Development Committee Reports, and Special Event Committee Reports.  Also coordinates membership mailings and invitations. Specific duties include but are not limited to:

  • Prepare correspondence as requested
  • Prepare membership cards
  • Maintain Donor Perfect (DP) database- gift entry, exporting mail, email member and donor lists, processing all acknowledgement letters, data integrity management
  • Work with Executive Director on event reservations
  • Maintain event guest lists, prepare nametags when necessary
  • Prepare all donor/member letters for gifts, contributions, and pledges
  • File donor/member-related correspondence
  • Weekly Batch Reports
  • Prepare bank deposits
  • Oversee Membership Department
    • Update in Donor Perfect
    • Draft and print thank you letters
    • Ensure thank you letters, membership cards, and other material go out in a timely manner
    • Oversee monthly renewal mailing
    • Update membership roster once a month
    • Work with Executive Development on membership events/letters
    • Set up, coordinate and take down monthly Membership Receptions
    • Contact lapsed members for renewals
  • Maintain USPS bulk mail account
  • Take minutes during committee meetings, and send reminders or calls to committee members
  • General Office Support
  • Update Donor Perfect records as necessary
  • Renewal membership mailing (1st week of the month)
  • Pull member list for Sea History Magazine
  • Assist all Museum staff with heavy lifting
  • Assist Museum with community events to varying degree (Sea Festival, Harbor and Seafood Festival, Kayak Race, lectures, etc.)
  • Process complimentary memberships and passes
  • Minor graphic design (flyers, guest passes, etc.)
  • Work and/or oversee all member and donor related events, including lectures, films, new member orientations, donor receptions, and all fundraising events
  • Coordinates annual appeals, lapsed donor appeals, and other special funding requests
  • Contacts lapsed members and provides monthly report on new members and lost members
